Overview

The mission of the National Center for Injury Prevention and Control (NCIPC) prevent injury, overdose, suicide, and violence across the lifespan through science and action. NCIPC is challenged with quickly implementing new priorities while continuing to execute its core public health mission and responding to new and emerging threats, such as the opioid public health emergency and community violence. NCIPC seems support to execute these activities.

Responsibilities

Office of Science (OS) needs program support to prepare and distribute correspondence in written and electronic format; refer non-routine requests to appropriate managers and staff; organize and manage share drive folders to increase efficiency and accurate storage of program documents; provide OS with materials and data that will facilitate accurate and precise decision-making on program activities for which they are responsible, e.g. program meetings and conferences; maintain various calendar appointments, meetings, and resolve conflicting appointments as appropriate; and develop and/or update operational procedures and work plans for increased administrative functions and activities.

 

Additional activities include:

  • at the end of each pay period for each employee, prepares, certifies, and electronically transmits the Time & Attendance (T&A) record for processing through TASnet
  • coordinates personnel and administrative forms and forwards for processing
  • complete in-processing for new FTE’s and contractors
  • prepare, manage, and coordinate travel for staff
  • ensuring that requests are compliant with NCIPC/CDC/HHS policies, procedures and regulations
  • prepare and track requests for requisitions supplies, printing, maintenance, or other services
  • create, submit, and monitor conference approval requests
  • process vouchers in a timely manner

Additional tasks may include the following activities:

  • process internal and security clearance requests in accordance with federal guidelines and CDC operating systems
  • provide logistical support for various meetings and activities for business operations
  • prepare briefing materials which can include, memos, presentations, reports and other various documents
  • communicate and collaborate with internal and external partners and customers on OS matters
  • work with OS leaders to develop and/or update operational procedures and work plans for increased administrative functions and activities
  • process pre and post travel coordination including ICAP approval
  • complete in-processing for new full-time employees (FTE’s) and contractors
  • coordinate logistics, schedule, agenda, etc. for in-person and teleconference program meetings such as internal staff meetings, reverse site visits with grant recipients, routine teleconferences with award recipients, program meetings with stakeholders and partners
  • order supplies, place print requests, conduct maintenance, submit training requests
  • work in Grants Management Module (GMM) and/or NEXT systems to prepare and/or upload documents and information related to funding for awards.

Other duties as assigned: eClearance coordination.

Qualifications

  • Bachelor’s degree with 1–2 years of relevant experience, or high school diploma with 6–8 years of relevant experience.
  • Prior experience supporting a federal agency; CDC experience strongly preferred.
  • Proficient in federal systems including TASNet, eClearance, GrantSolutions, ICAP
  • Advanced proficiency in Microsoft Word, Excel, Outlook, PowerPoint, SharePoint, and Teams.
  • Demonstrated ability to work independently on complex projects while collaborating effectively with cross-functional teams.
  • Proven ability to manage multiple priorities and adapt to evolving project needs.
  • Excellent written and verbal communication skills.
  • Strong organizational, prioritization, and time management abilities with exceptional attention to detail.
  • Creative problem-solving skills and a resourceful, team-oriented approach.
  • Experience with TASNet, eClearance, GrantSolutions, ICAP

Pay Range

USD $45.00 - USD $52.00 /Hr.
