Overview

The NCIPC Office of the Director (OD) needs program support to prepare and distribute correspondence in written and electronic format; refer non-routine requests to appropriate managers and staff; organize and manage share drive folders to increase efficiency and accurate storage of program documents; provide the OD offices with materials and data that will facilitate accurate and precise decision-making on program activities for which they are responsible, e.g. program meetings and conferences; maintain various calendar appointments, meetings, and resolve conflicting appointments as appropriate; and provide logistical support for various meetings and activities for business operations to include agenda solicitation, preparing and setting up for meetings, and room scheduling using the Integrated Facilities Management System (IFMS).

 

The Management Analyst provides administrative and program support to the NCIPC Office of the Director (OD) leadership and professional staff. General activities include:

  • Administrative and correspondence support
  • Calendar, meeting, and event coordination
  • Travel and conference management
  • Visitor and staff management

 

 

Responsibilities

  • Prepare and distribute correspondence in written and electronic format.
  • Refer non-routine requests to appropriate managers and staff.
  • Organize and manage share drive folders to increase efficiency and accurate storage of program documents.
  • Provide the OD offices with materials and data that will facilitate accurate and precise decision-making on program activities for which they are responsible, e.g. program meetings and conferences.
  • Maintain various calendar appointments, meetings, and resolve conflicting appointments as appropriate.
  • Provide logistical support for various meetings and activities for business operations to include agenda solicitation, preparing and setting up for meetings, and room scheduling using the Integrated Facilities Management System (IFMS).
  • Prepare, certify, and electronically transmit at the end of each pay period the Time & Attendance (T&A) record for each employee for processing through TASNet.
  • Coordinate personnel and administrative forms and forward for processing.
  • Complete in- and out-processing activities for FTEs and contractors in SNAP and Navigator systems.
  • Prepare, manage, and coordinate travel for staff, ensuring that requests are compliant with NCIPC/CDC/HHS policies, procedures and regulations.
  • Create, submit, and monitor conference approval requests in CDC’s Conference Approval Management System (CAMS).
  • Process travel authorizations and vouchers in Concur in a timely manner.
  • Prepare and track requests for requisitions supplies, printing, maintenance, or other services.
  • Process internal and security clearance requests in accordance with federal guidelines and CDC operating systems.
  • Prepare briefing materials which can include, memos, presentations, reports and other various documents.
  • Communicate and collaborate with internal and external partners and customers on OD matters.
  • Develop spreadsheets for tracking and analyzing functions such as decision list, task tracking, travel-related activities and others as deemed necessary.
  • Process pre- and post-travel coordination including CAMS approval.
  • Coordinate logistics, schedule, agenda, etc. for in-person and teleconference program meetings such as internal staff meetings, reverse site visits, routine teleconferences, and program meetings with stakeholders and partners.
  • Submit purchase card requests for supplies, conference and course registration fees, exhibit booth fees, software licenses, etc. in the Credit Card Purchasing System (CCPS).
  • Submit training requests in the Vendor Supplied Training System (VSTS).
  • Maintain updated upcoming activities, including publications, meetings, events, communication activities into the Forecasting Portal.
  • Provide backup support for other OD offices as needed
  • Other duties as assigned.

Qualifications

  • Bachelor’s degree with 1–2 years of relevant experience, or high school diploma with 6–8 years of relevant experience.
  • Prior experience supporting a federal agency; CDC experience strongly preferred.
  • Proficient in federal systems including TASNet, CAMS, CCPS, and VSTS.
  • Advanced proficiency in Microsoft Word, Excel, Outlook, PowerPoint, SharePoint, and Teams.
  • Demonstrated ability to work independently on complex projects while collaborating effectively with cross-functional teams.
  • Proven ability to manage multiple priorities and adapt to evolving project needs.
  • Excellent written and verbal communication skills.
  • Strong organizational, prioritization, and time management abilities with exceptional attention to detail.
  • Creative problem-solving skills and a resourceful, team-oriented approach.
  • Experience with TASNet, CAMS, CCPS, and VSTS

Pay Range

USD $95,000.00 - USD $110,000.00 /Yr.
